Step 1 – Configure Physician Follow-Up Request Templates

The first step is to have the Physician Follow-Up Request Templates configured for your practice.

These templates allow providers to submit follow-up scheduling requests directly from the mobile application while seeing patients inpatient.

How Providers Access the Feature

  1. Open the patient within the mobile app.
  2. Select the MORE button.
  3. Choose the appropriate Follow-Up Request Template.
  4. Complete the requested information such as:
    • Follow-up timeframe
    • Requested office location
    • Requested provider
    • Additional scheduling notes
  5. Submit the request.

Once submitted, the follow-up request is automatically routed to the web portal for review and scheduling action by the back-office team.

Step 2 – Accessing Follow-Up Requests in the Web Portal

Back-office users can manage all incoming follow-up requests from the Follow-Up Queue within the web portal.

Recommended Workflow

  1. Log into the web portal.
  2. Navigate to the Follow-Up Queue.
  3. Review and assign incoming requests submitted by providers.
  4. Filter or organize requests by:
    • Location
    • Provider
    • Follow-up type
  5. Schedule the patient accordingly within the office scheduling workflow.
  6. Update the request status and document any scheduling actions taken.

This process helps streamline inpatient-to-outpatient transitions and ensures requests are directed to the appropriate office and provider.

Step 3 – Configure Collector Follow-Up Templates (Optional but Recommended)

Custom Collector Follow-Up Templates can also be created for back-office staff or collectors to document standardized follow-up notes.

How These Are Used

When managing the Follow-Up Queue:

  1. Select Add/Modify Collector Notes.
  2. Choose from the available canned note templates.
  3. Save the note to document outreach or scheduling activity.

This helps maintain consistency in documentation and workflow management.

Step 4 – Configure Follow-Up Notifications

Users managing follow-ups can enable notifications so they are alerted when new requests require action.

User Preference Settings

  1. Go to User Preferences.
  2. Enable:
    • Receive Follow Up Notifications
  3. Configure:
    • Receive Follow Up Types

This allows users to receive only the specific follow-up request types assigned to them instead of all requests.

Recommended Implementation Workflow

Below is the recommended overall process for implementation:

  1. Configure physician follow-up request templates.
  2. Define scheduling workflows by provider and location.
  3. Configure collector note templates for standardized documentation.
  4. Enable user notification preferences.
  5. Train providers to submit requests using the MORE button in the mobile app.
  6. Train back-office staff to manage requests through the Follow-Up Queue.

This functionality is extremely useful for improving inpatient-to-outpatient continuity and centralizing follow-up scheduling requests.
